Terms of service
The terms on which MU(x) Consulting provides EasyVisaFlow. Business customers only.
Last updated 1 September 2026
1. Who these terms are between
These terms govern use of EasyVisaFlow (the “Service”), provided by MU(x) Consulting, Hasenweg 4, 85521 Riemerling, Germany (“we”, “us”). They apply between us and the organisation that holds the account (the “Agency”).
The Service is offered to businesses only, in the course of their trade. It is not offered to consumers, and the provisions of German law applying specifically to consumer contracts — including the right of withdrawal — do not apply.
Any purchasing terms of the Agency’s own apply only if we have agreed to them in writing.
2. What the Service is
EasyVisaFlow is case-management software for immigration agencies. It records applicants and their applications, extracts data from uploaded identity documents, derives document requirements per application, produces quotes and invoices, and exchanges documents with the Agency’s own clients.
We do not give immigration advice. Requirement lists, deadlines, eligibility indications and generated documents are working aids produced from data the Agency supplies and rules the Agency maintains. The Agency remains solely responsible for the professional advice it gives, for the accuracy of every application it files, and for compliance with the immigration law of any country involved.
3. Accounts
The Agency is responsible for its user accounts, for keeping sign-in credentials confidential, and for everything done under them. Accounts belong to named individuals and are not to be shared. Tell us promptly if you believe an account has been compromised, and deactivate departing staff — the Service revokes their access as soon as you do.
4. The Agency's data
All data the Agency puts into the Service — applicant records, uploaded documents, case history, its price book — remains the Agency’s. We claim no ownership of it. The Agency grants us only the licence needed to host, process, back up and display that data in order to run the Service.
For personal data in case files the Agency is the controller and we are the processor, acting on the Agency’s documented instructions. Our privacy notice sets out the detail, and a separate data processing agreement under Article 28 GDPR forms part of these terms.
The Agency warrants that it has a lawful basis for the data it uploads and that it has told its own clients what happens to it.
5. Acceptable use
- Do not upload data you have no right to hold, or use the Service for anything unlawful.
- Do not attempt to reach another agency’s data, probe the Service for vulnerabilities without our written agreement, or work around access controls.
- Do not resell, sublicense or make the Service available to third parties as your own.
- Do not automate access in a way that degrades the Service for others.
We may suspend an account immediately where use threatens the security or integrity of the Service or another customer’s data. We will say why, and restore access once the cause is resolved.
6. Fees
Fees, billing period and payment terms are as agreed in writing with the Agency. Prices are net of value added tax, which is added where applicable. There is no self-service subscription and no published price list.
7. AI-assisted features
Some features use machine learning — reading a passport page is the main one. These are probabilistic and can be wrong. Every extracted value is presented for confirmation before it is saved, and the Agency is responsible for checking it. We give no warranty as to the accuracy of any AI-derived output.
8. Availability
We aim to keep the Service available continuously and to give notice of planned maintenance, but we do not warrant uninterrupted or error-free operation unless a separate service level agreement says so. Third-party outages — hosting, email, the AI provider — are outside our control.
9. Liability
We are liable without limit for damage arising from injury to life, body or health, for intent and for gross negligence, and under the German Product Liability Act.
For simple negligence we are liable only for breach of a material contractual obligation — an obligation whose fulfilment makes performance of the contract possible in the first place and on whose observance the Agency may reasonably rely — and then limited to the foreseeable damage typical for this kind of contract. Any further liability is excluded.
Nothing in this section limits liability that cannot be limited by law. The Agency is responsible for keeping its own copies of anything it cannot afford to lose.
10. Term, termination and getting your data out
The agreement runs for the term agreed with the Agency and may be terminated by either party at the end of a billing period. Either party may terminate for cause on written notice where the other commits a material breach and does not remedy it within 30 days.
On termination the Agency may export its data. We keep it available for 30 days from the end of the agreement and delete it after that, except where the law requires us to retain a record.
11. Changes to these terms
We may change these terms where there is a valid reason — a change in the law, in the Service, or in how it is provided. Agencies are notified by email at least 30 days before a change takes effect. If the Agency objects within that period, it may terminate at the date the change would take effect.
12. Final provisions
German law applies, excluding the UN Convention on Contracts for the International Sale of Goods. The place of jurisdiction is our registered seat where the Agency is a merchant, a legal person under public law, or has no general place of jurisdiction in Germany.
If a provision is or becomes invalid, the rest remains in force. We do not participate in dispute resolution proceedings before a consumer arbitration board.
